Christmas Function FAQ’s.

 

What activities are available to our group? 
The driving range including balls, clubs and veranda access is included at no extra charge with Christmas events, some are limited to a certain amount of time with others offering full unlimited access for your entire stay (excluding while your meal is being served). Some packages also include access to the Orlando Lawn games (weather dependant) Scored competitions are also included with some packages
We don’t offer additional team-building activities during this period.  

Can we have private use with the place to ourselves? 
Yes, Orlando Country may be booked exclusively for your event, however minimum requirements and additional charges and conditions do apply so please enquire further.

Can we split our account and pay individually on the day? 
No sorry we do not accept split payments on the day for your group, all tickets are pre purchased via one invoice with additional tickets available subject to availability. All bar tab payments are either pre-paid or via one payment for your booking on the day/night.

We are just a small group of 6 people, can we still book? 
Yes, this is not a problem, we would love to host you and do our best to slot you in on a night that suits your small group.

We would like to just book a table and casually order off the ‘Cafe Menu’ please? 
Standard cafe dining is limited in availability during November / December, with forward bookings only taken 5 days in advance, so please enquire within this period.

What is included in our option? 
Venue hire (unless booking an exclusive room/venue), menu, driving range balls and clubs and veranda access are included in all packages, other options such as lawn games are available for our Platinum packages. All refreshments are at additional cost.

Can we bring our own food & alcohol? 
No food or alcohol is to be brought onto any area of the property without the express permission of management. This includes anywhere within the entire property owned by Orlando Country & includes all access ways, carpark’s & the golf course - To protect our license, your group will be requested to leave the property if this does occur.

Can we make changes to the menu? 
All menus are pre-set however do allow for special dietary requirements to be catered for, so please let us know in advance if any of your guests require this. We will need their name and dietary requirement. All on the day dietary requests are subject to additional charges.

Does our small group of 15 get a private space to ourselves? 
This option is available in some instances, with minimum requirements and depending on other bookings for the day.
Please enquire if you require exclusive use of a room.

Can we just arrive when suits us? 
No sorry, all Christmas functions have set itineraries, and we request that you keep to this as best as possible so that your guests don’t miss out on any part of the day, or evening & other groups or guests are not inconvenienced. However, if you have exclusive use for the evening then we are happy to work in around your specific needs where possible. 

Do we need to use a transport option? 
We certainly prefer you to have transport pre-arranged to coincide with your set itinerary to avoid our “time extension” charge of $15.00pp per 15 minutes for all guests on site 15 minutes beyond the itinerary. 
Should your main point of contact need to depart earlier than the last guests we would require an introduction to a new contact person who would be responsible for all remaining guests.

What are our payment options? 
All tickets for Orlando Country Christmas Functions are invoiced in October or when booked if following this date. This includes any pre-set bar tab amount with any remaining bar tab (should there be any) credited back to your account post event. Any additional bar tabs that are set up on the day will require a credit card hold and to be paid before departure.

Can we bring our own prizes?
Yes, provided they are not alcohol related. If food items, please ensure your guests save them for once they have left.

Do you have prizes we can give out?
We have the Orlando Christmas Competition up for grabs each day/night (either hosted or un-hosted dependant on your package option) for everyone to have a go at and the Orlando Store has plenty of corporate gifts as well. We can even make up gift baskets in advance.

Do we need to be a business to book? 
Not at all. If one of the options happens to suit, then we would be more than happy to accept your booking. Do note that we do not split payments with single payment required.

What age restriction do you have? 
All guests under the age of 18 must be introduced to our duty manager on arrival & all children under 16yrs must be always fully supervised by an adult. We request that all guardians report to us on arrival so that we can point out all danger areas within the property & advise on safe boundaries to keep children within. We don’t have a definite age restriction although we assume common sense would prevail unless your group has exclusive use of the Country Club during your event. Christmas Functions do not have a provision for children.

Can we leave our vehicles on site overnight? 
Your guests are more than welcome to leave their cars on site overnight if they wish, although this is at their own risk, with gates opening at 8:30am. We do request that any vehicles left onsite overnight be picked up promptly the next day.

Can we run a bar tab for our group? 
Yes, most groups run bar tabs - please let us know in advance & we can set this up for you prior to your event. All bar tabs require restrictions to be listed on application along with a point of contact should restrictions apply. Any pre-set bar tabs will be invoiced with your allocated tickets. With any on the day bar tabs requiring a credit card to be put down and paid prior to departure.

Do I need to pay a deposit and what happens if we cancel our booking? 
All tickets purchases are confirmed at time of booking and invoices will be sent out October 1st. Any booking made following this date will have invoices sent out on confirmation. We have a very clear cancellation policy listed below.

Are we able to change dates once tickets have been purchased?

Date transfers can affect multiple parties, so we urge everyone to double check their dates with everyone before booking. Where possible we are more than happy to help with ticket date transfers. Please let us know as soon as possible if you are thinking of changing your date and we can then make note should another group enquire. However, if the date is not purchased by another group within the above stated time periods, our cancellation policy will apply.

Who would we be sharing the venue with? 
We try to match groups as best as possible and will give you a good indication as to the type of group that is already booked in. If you have booked in and are worried about other groups confirmed on the same night, then please just ask. You are seated at your own table / tables for dinner and your group also has its own driving range bay.

Do you offer transport? 
We don’t offer transport but do have contacts that will ensure the safe departure of your guests, so please contact us in advance should you require this.

Is there a discount for children? 
As Nov / Dec is primarily our “corporate event” period, we do not have provision for children attending unless you have exclusive use of the venue with minimum requirements. 

How long can we stay? 
All Christmas function options have set itineraries. Please check your selection for timings and ensure transport is pre-organised as we do have a charge of $15.00pp per 15 minutes for all guests on site 15 minutes beyond the itinerary.

Dietaries

  • We don’t expect you to know all dietaries at your initial booking although guests with severe or complex dietaries will often notify you when you send out your Christmas function notice. This will allow us to answer any questions they may have to ensure we are able to accommodate their needs. An additional cost may be required depending on the dietary requirement and the changes we must make. We will alert you to any charges prior to the 10-day period.

  • Please keep us updated with any special requests as they come in or any specific requirements can be discussed with us directly if more appropriate.

  • These will need to be sent to us no less than 10 days out from your event along with the names of each guest and their requests with any specific dietaries noted for us to manage.

  • Please ensure all dietary guests contact staff on arrival and we will confirm requests with them along with where they are seated. As per the 10-day confirmation, any change of mind on the day regarding pre-ordered dietaries are fully charged an ‘additional’ menu, so please ensure guests are aware of this.

The Orlando Country Christmas Function Ticket Cancellation Policy & Terms


The following terms apply to all Christmas Functions that have been confirmed in writing.
Note there is no charge if you are within your 7-day regret period. This is the 7 days following written confirmation of event booking.

Ticket Invoices will be issued on October 1st and must be paid for within 7 days, or your date will be re-released, and a cancellation fee will apply.

ORLANDO CANCELLATION POLICY
91+ days from your event: A refund equal to 70% of your ticket price or 100% if we can re-sell your tickets within 30 days.
61-90 days from your event: A refund equal to 70% of your ticket price or 100% if we can re-sell your tickets within 14 days.

31-60 days from your event: A refund equal to 50% of your ticket price or 100% if we can re-sell with-in 48 hours.

30 days or less from your event: A refund equal to 30% of your ticket price or 100% if we can re-sell your tickets within 24hours.

CHANGE OF DATE REQUEST

Where possible we are more than happy to help with ticket date transfers.
Please let us know as soon as possible if you are thinking of changing your date and we can then make note should another group enquire. However, if the date is not purchased by another group within the above stated time periods, the above cancellation policy will apply.

GUEST NUMBER VARIATIONS FROM INITIAL BOOKING
We appreciate your initial booking enquiry would most likely be a best guess for ticket numbers and so we have allowed for the below sliding scale to allow for fluctuations. Please note that large number changes have a large impact on how we manage our bookings, so we do appreciate you keeping an eye on this part of your booking and keep us updated as best as possible please.

Please note the below is based off your initial booked numbers.

91+ days from your event: we allow for up to a 25% reduction in numbers if you update us within this period.
61-90 days from your event: we allow for up to a 20% reduction in numbers if you update us within this period.
31-60 days from your event: we allow for up to a 15% reduction in numbers if you update us within this period.
11 to 30 days or less from your event: we allow for up to a 10% reduction in numbers if you update us within this period.
10 days or less out from your event: we do not allow for any drop in numbers this close as all numbers should be with us by this time.

ORLANDO COVID / SICKNESS RELATED NON-ATTENDANCE – VENUE CLOSURE
Tickets will be refunded by Orlando should our venue be closed and unable to operate due to government imposed COVID regulations.
Any Government requirement that limits or restricts the legal number of guests or group size allowed at Orlando Country will not be counted as a reduction in agreed numbers and a ticket refund will apply proportionally to this. 
We are not responsible for individual or multiple tickets being unused for any reason including guests coming down with covid / sickness or injury and are unable to attend.
